This policy explains what personal data Simon Personal Trainer collects, how it is used, and the rights you have over your information under UK GDPR and the Data Protection Act 2018.

Who we are

What we collect

When you apply for coaching, send us an enquiry, or book a session, we collect the personal data you choose to provide. That typically includes your name, email address, phone number, the path you are applying for, and the context you share about your training history, goals, injuries and lifestyle. If you become a client, we may also collect physical assessment data, body composition, training and nutrition records as part of your coaching programme.

Our website does not use third-party advertising trackers. Standard server logs (IP address, browser type, pages viewed) are kept by our hosting provider for security and performance only.

How we use it

Your information is used to respond to your enquiry, deliver coaching services, design your training programme, track your progress, and contact you about your sessions or applications. We may use anonymised insights from coaching records to improve our methods over time. We do not sell or rent your data to anyone.

Lawful basis

We process your data on the basis of the contract you enter into when you become a client, our legitimate interest in responding to enquiries and running the business, and your consent where required for marketing communications.

Who we share data with

Limited information is shared with the coaching app provider that we use to deliver programmes, with payment processors when invoices are issued, and with any health professionals where you have explicitly asked us to coordinate care. All processors operate under their own UK GDPR commitments. We do not share data for marketing purposes.

How long we keep it

Application data is kept for up to twelve months from your enquiry. Active client records are kept for the duration of the coaching relationship and up to six years after, in line with HMRC record-keeping requirements. You can ask us to delete information earlier where there is no legal obligation to retain it.

Your rights

You have the right to access, correct or delete the personal data we hold about you, to restrict or object to its processing, to receive a copy of it in a portable format, and to withdraw consent at any time. To exercise any of these rights, email hello@simonpersonaltrainer.co.uk and we will respond within one month.

If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office at ico.org.uk.
